Job Description

\\n As Team Assistant, you will support the Personal Workspace Solutions Business Group (\\xe2\\x80\\x9cPWS\\xe2\\x80\\x9d) team in their daily tasks and contribute to PWS Business operations & activities. You will mainly assist the team based in Europe (mainly Lausanne office) but also at a global level.

You will help the team with critical administrative tasks, samples management and other office related duties. You will also provide executive support to the PWS Leadership team (EMEA based) in their daily activities. You will coordinate meetings, workshops and arrange logistics for events.

This role will report to the PWS Global BG Operations Manager and is a full time position based in Lausanne, Switzerland.

In this role you will:

Provide administrative support and assistance to the PWS Team:

Help the team with their daily admin tasks (filing, invoicing, suppliers management)

Manage sample stock (orders, packing, shipping)

Take meeting minutes and projects follow-up

Contribute to documents and presentations preparation

Support recruitment processes by organizing interviews and helping recruiting managers with related administrative tasks

Help with Newcomers onboarding (material, onboarding procedures, welcoming)

Review operating practices and suggest improvements where necessary

Support the PWS BG Ops Manager for any relevant tasks and projects (global & local)

Provide executive support to the PWS Leadership Team:

Provide extensive support to PWS VP (travel arrangements, calendar management, scheduling, correspondence\\xe2\\x80\\xa6)

Provide assistance to PWS LT members when traveling to Lausanne or other offices (desk/meeting room bookings, on-site logistics)

Provide support for LT travel arrangements (visa, flight/hotel bookings, other travel arrangements\\xe2\\x80\\xa6)

Assist the PWS LT in their org & admin duties (expenses, travel arrangements and other admin tasks)

Help coordinate meetings & activities:

Liaise with internal staff at all levels

Coordinate project-based work

Support Product development & innovation activities for PWS

Arrange regular meetings, workshops and events (virtual and on/off site).

Organize team activities (virtual and in person)

Coordinate logistics, agenda, evening dinners and/or party, goodies, etc.

Interact with external clients & build strong relationships with local suppliers

Collaborate with PWS Operations team to help deliver other projects & events

Key Qualifications:

We are looking for someone with the below experience, skills and behaviors to join our team:

3-5 years of experience in an international environment providing support at a high level

Successful experience in events management or in the hospitality industry

Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite or Google Suite

Knowledge of standard office administrative practices and procedures

Basic Knowledge of finance and accounting systems such as Oracle Ipro

Fluent in English and French (written and spoken), any other language is a plus

Solution oriented and proactive, able to take initiatives

Excellent interpersonal skills

Very good communication skills, capable of adapting communication style to the audience

Strong organizational & planning skills, attention to detail and hands-on

Adaptive and Flexible, able to deliver in a rapidly changing environment

Good stress management capacity, able to handle pressure

Able to analyze problems and bring creative solutions

Reliable, trustworthy

Autonomous & capable of working remotely in an organized and efficient manner
