\\n The Lindt Cocoa Foundation is looking for a talented and motivated Project & Office Manager (80-100%) to join the team in Switzerland. Reporting to the Managing Director of the Lindt Cocoa Foundation, this position will play a key role in driving the implementation of projects for the Lindt Cocoa Foundation and ensuring professional foundation management. As we are a small foundation, the person will also have direct exposure to the board.
About the Lindt Cocoa Foundation: The Lindt Cocoa Foundation was founded in 2013. Its mission is to foster sustainable agriculture in developing and emerging regions through the support of innovative projects that aim at enabling farmers to improve their practices in the cultivation, production and processing of raw materials used in chocolate. In order to reach the mission, the foundation supports projects that aim at:
Creating the motivation, capabilities and capacity of farmers to improve their farming practices
Fostering an enabling environment and removing constraints farmers face to improve their practices
Doing research to increasing the understanding about the farmers and their environment in order to improve the efficiency and effectiveness of projects
IN THIS ROLE, YOUR MAIN TASKS WILL BE TO:
Project Management
Evaluate co-funding applications: Improve internal processes to evaluate project applications against a set of clear criteria. Review applications and proposals for funding/co-funding and prepare documents for approval of funding by Board. Ensure due diligence in this process.
Project development: With support from technical experts, select competent and reliable partners for potential project collaboration. Ensure due diligence in this process. Jointly with the partners and the technical experts, co-create the projects including the design, budgeting, and contracting of implementation partners. Ensure high quality of the project proposals and prepare the necessary documents for the submission to the foundation board for approval.
Project supervision: Ensure high quality project implementation, including progress reviews with project partners, monitoring, evaluation, learning and reporting. Occasionally visit the programs and projects in the field (travel up to 10% of your time).
Foundation Management
Contract Management: Preparation of contracts, leading the contract signature process and responsible for managing the contracts in the Contract Management System CMS.
Financial management & accounting: Preparation of yearly budget. Track project expenses, coordinate payment of invoices with the external accounting service provider, review and improve the accounting processes together with the external service provider.
Board Meetings: Support the preparation of the board meetings including invitation, presentation and annexes, present project updates during the board meetings, write the board meeting minutes.
Annual Report: Draft the annual report of the foundation, compile all documents for approval by the Managing Director, coordinate the annual audit with external service providers and manage regular contact with supervisory board (Aufsichtsbeh\\xc3\\xb6rde).
Communications: Manage the Lindt Cocoa Foundation website content updates, compile fact sheets of new projects and answer stakeholder requests.
Foundation administration: Take care of all the administrative matters of the foundation, including updating internal documentation, collection of signatures, communication with authorities, keeping the commercial register up-to date and manage insurance topics.
YOUR PROFILE:
Master\\xe2\\x80\\x99s degree in sustainable development, social or environmental sciences, agriculture or similar preferred
At least 5 years of professional experience in development cooperation, with preference in the agricultural products in an NGO or the food industry
Experience with managing small foundations and a drive for excellence in administrative matters is a strong plus
Knowledge in developing projects with innovation focus and monitoring & evaluation is a strong plus
Strong project management and reporting skills
Fluent spoken and written German. English, Spanish or French of advantage
Excellent social and communication skills and experience to work with teams across several nationalities and cultures
Demonstrated ability to collaborate with key stakeholders
Down-to-earth work attitude, hands-on mentality, and at the same time attention to details and high analytical skills
Experience to work in a dynamic environment with ability to prioritize and focus, also in tense situations
Sense of ownership, entrepreneurial mindset and independent working behavior
