Position Overview

The Office Manager / Receptionist of StepStone Group in Zurich will support the general office administration activities of a dynamic, high-growth organization. The Office Manager / Receptionist is an energetic professional who doesn\\\'t mind wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office of diverse people. The Office Manager / Receptionist will work closely with external service providers to coordinate various office maintenance needs, as well as work with various vendors contracted by the Zurich office.

Essential Job Functions:
  • Greet clients and visitors with a positive, helpful attitude.
  • Assisting clients in finding their way around the office.
  • Announcing clients as necessary.
  • Helping maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs.
  • Assisting with a variety of administrative tasks including copying, faxing, taking notes, and making travel plans.
  • Preparing meeting and training rooms.
  • Answering phone calls in a professional manner, and routing calls as necessary.
  • Assisting colleagues with administrative tasks.
  • Performing ad-hoc administrative duties.
  • Sorting and distributing mail.
  • Provide excellent customer service.
  • Scheduling appointments.
  • Manage Building/Facilities requests, liaise with external service providers
  • Preparation and coordination of meetings and events
  • Assist in the production and assembly of company presentations and client materials when needed
  • Coordinate travel requests / arrangements for employees, prepare and distribute schedules/agendas for travel
  • Oversee inventory for office supplies and kitchen refreshments
  • Coordinate office equipment and with IT department hardware for employees
  • Support onboarding of new employees
  • Plan and manage Company Events for the Zurich office (Summer and Year-End events)
Education and/or Work Experience Requirements:
  • 3+ years of office manager experience (Ideally in a comparable role)
Required Knowledge, Skills, and Abilities
  • Fluent in German and English
  • Attention to accuracy and detail
  • Effective communication skills and strong problem-solving skills
  • Energetic, motivated, and team-oriented
  • Strong interest in learning new or improving existing skills, and suggesting process improvements
  • Ability to function well in a high-expectation/low-oversight environment, an independent thinker and self-starter
  • Ability to prioritize activities while working on multiple projects and achieve target deadlines
  • Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint
