Main goal:
The Guest Relations Assistant is responsible for maintaining a good relationship between UEFA and its VIP guests by managing invitations to UEFA EURO 2024 and acting as the key point of contact for specific internal divisions, guests and operational teams. The role also involves providing guests with best-in-class support to register for UEFA EURO 2024, ensuring that all services are booked according to the appropriate service levels and that the data sent to service providers is accurate. In addition, the Guest Relations Assistant provides administrative and logistical support to the Guest Management & Protocol team and helps them with event preparation tasks.
Key responsibilities:
- Managing UEFA\\\'s VIP guest groups and constantly working towards service excellence - Compiling guest lists based on information provided by the relevant UEFA divisions and according to quotas - Understanding guest service levels and stakeholder structures in order to handle requests and bookings accordingly - Nurturing UEFA\\\'s relationship with its key stakeholders - Acting as a key player in the implementation of VIP guests\\\' journeys at UEFA EURO 2024, anticipating their needs and providing the appropriate information at each touchpoint - Sending out invitations through UEFA\\\'s football administration and management system (FAME), and assisting guests as necessary during the registration process - Being responsible for the whole invitation management process for selected VIP guests, ensuring that the information provided to those guests is complete and accurate, and collecting responses in a timely manner - Ensuring that target group owners are constantly updated on the invitation status of their VIP guests - Reporting and sharing relevant statistics on invitations with the VIP teams in Frankfurt and Nyon - Liaising with target group owners on special arrangements for VIP guests, in accordance with the defined service levels - Collecting data on individual guests - Confirming guests\\\' registrations and service bookings - Verifying data accuracy - Coordinating with service providers such as event transport and accommodation providers to understand the full scope of operations implemented at events - Staying up to date on guest-related services and operational aspects of events, and keeping the relevant UEFA divisions informed - Managing last-minute changes and requests - Following up on no-shows - Following up with guests after events - Supporting the Guest Relations Coordinator, the Guest Relations & Protocol Manager and the overall project lead as required - Helping UEFA\\\'s event planning team with administrative tasks - Supporting on-site operations - Assisting with guest management projects - Assisting on VIPS projects that deal with the overall guest experience
Profile:
Experience required: - from 1 to 3 years\\\' experience working in guest relations or managing guests and customers for a travel agency - less than 1 year experience working with CRM systems
Education: - Bachelor degree in hospitality or event management
Languages: - English / Proficient
