Job Description
The Event Project Manager plans and executes events from the initial conception of the event to its successful completion. This role requires excellent event-planning skills along with the ability to define project milestones and deadlines and coordinate cross functional teams and external contractors to ensure a successful and enjoyable event that meets organizational values, goals and expectations.
The Event Project Manager needs to balance creativity with logistics, financial planning, teams, vendor or client management duties. He or She should excel at multitasking and balancing big-picture concerns like venue and contractor selection with details like d\\xc3\\xa9cor and meal planning, effectively utilizing resources and personnel to stage large scale events.
Essential job functions
Includes but is not limited to
Manage projects from project inception through deployment and ensure that stringent quality control processes are followed for all deliverables
Work with the in-house department teams to make sure all deliverables are correctly executed and meet client expectations and timelines
Follow a development timeline to ensure tasks are being completed on time
Manage vendor relationships and collaborate with administrative team for payment processing
Troubleshoot problems as they arise along the way
Collaborate with teams regarding project scopes, timelines, and budgets
Guide teams to meet agreed-upon timelines, maintaining the critical path and overseeing project budget
Communicate with internal and client teams effectively to ensure expectations are set and all deliverables are met on schedule
Demonstrate initiative and resourcefulness to meet project milestones, internal team needs, and client expectations
Construct clear, concise, and error-free written and verbal communications that provides required details to project stakeholders (internal and external)
Adhere to all company and departmental employment policies regarding security and confidentiality
Qualifications
These are the key criteria to the role * 5+ years professional event management experience with a recognized event agency (note that this aspect is a priority, profiles that do not meet this criterion will be automatically rejected)
Fluent in French and English; German is a plus
Excellent time management skills
Ability to make decisions and to prioritize tasks, and to remain calm under stress
Maintain event budgets and profitability
Problem solving skills
Ability to work both autonomously and as part of a team
Proficiency in Microsoft Office applications (Word, Power Point, Excel); familiarity with Keynote an advantage
Excellent interpersonal communications skills across all media
Strong client and service-oriented focus and international experience
Flexibility to travel
Develop pitching and sales skills to perform customer relations aptitude
