Job Description
As an Assistant Hospitality Services Manager, the executive ensures the highest level of hospitality services is delivered to the agency\\\'s client portfolio, including for the following missions: Accommodation, Registration, Transportation, Logistics & Travel management and Advisory services. The Assistant Hospitality Services Manager must ensure quality, efficiency and price-competitiveness for related travel services (hotel, flights, etc...), for both internal and external stakeholders, within the corporate travel guidelines. He must always seek improvements in company procedures for hospitality related services, while maintaining excellent relationships with clients, suppliers and teammates. Focus is on ensuring outstanding customer experience and maximum efficiency of operations.
This role is reporting directly to the Director of the Hospitality Services and/or his designee.
ESSENTIAL JOB FUNCTIONS (includes but is not limited to)
Organize prompt hospitality services to customers by managing day-to-day operations and communications with internal and external clients
Map, plan and manage database tools for accommodation, registration and travel services, with accuracy and efficiency
Research and provide innovative solutions to any Hospitality services Related problem
Stay fully informed on travel services and continuously gain market knowledge on all hotels/airlines/travel companies\\\' rules and regulations, and accurately apply this knowledge to all travel arrangements
Provide advisory services to internal and external clients
Attend events to ensure all rights and contractual benefits are duly delivered by the contractual parties
Prepare pre/post-event reporting for each of the attributed missions within PublicisLive events and share the reporting with the relevant stakeholders
Optimize the revenues of the event, by negotiating accurately with the hotels to generate Commissions
Ensure an effective evaluation of Hospitality Services against consistent and standardized criteria, including tracking and monitoring the allocated budget and
Evaluate, recommend and coordinate process enhancements
Participate in IT system implementations and upgrades
Identify win-win opportunities to provide more products and services to participants
Adhere to all company and departmental policies and ensure all services standards are compliant with company policies regarding security, confidentiality, sustainability and social responsibility.
Qualifications
KEY QUALIFICATION FOR THE JOB:
An understanding of sport events such as Football or Basketball.
Meticulous & solution driven.
Ability to travel and stay onsite for several weeks
English is mandatory. Other languages (especially German) are a plus.
Experience in the hospitality or events industry is a plus
